06-22-09 Maintenance Committee
LC Maintenance and Schools Facilities Committee

June 22, 2009 at 8 AM

LC Members present: Dan Amaral, Jan Brookes, Pat Llodra

Board of Finance: Jim Gaston

Guests: LeReine Frampton, Robert Merola

Pat Llodra began by stating that the committee’s goal is to assess the information that has been collected to date, and determine what is needed to make informed recommendations.

The committee agreed on the following;

1.      There are opportunities for collaboration on the process and tools between the BOE and BOS around CIP decisions.
2.      Discussions need to take place about who will use the Track-It Software.  The committee’s expectation is that all maintenance departments in the town and school will utilize it.
3.      Taxpayers need to be made fully aware of the amount of volunteer service on the part of town employees.  For example, P &R employees volunteered at the Relay for Life on June 20th – 21st.
4.      The cost for the use of BOE facilities for P & R activities, and the use of P & R fields by the BOE athletic department needs to be tracked.  In addition, the cost of maintaining BOE facilities and P & R fields needs to be accurately determined.
5.      The committee will interview Gino Faiella again.  Committee members will email Jan Brookes with a list of their questions for Mr. Faiella, and she will compile the master list.
6.      All maintenance department heads, including Maria Demarco of DMC, need to meet monthly.
7.      The committee will interview the Director of Maintenance for the town of Ridgefield to ascertain how a consolidated maintenance department operates in a town that is similar in population and socio-economic status to Newtown.
8.      The committee will interview elected representatives of the borough of Newtown.  Jim Gaston will arrange this.
9.      The committee will also interview representatives of the Edmund Town Hall Board of Managers.
10.     All committee members will reread the minutes to review the extensive amount of detailed research before the committee goes forward with additional research.
